1. Scope and privacy contact
This policy explains how ME&WE processes data when you use the website, create an account, take IR MAP, register for learning activities, pay or use coaching services. For privacy requests contact support@meandwe.vn or +84 966 688 446. You may ask for an explanation of processing before providing information.
2. Data collected
Depending on the features used, data may include: full name, nickname, username, email, phone number, residential address, date of birth and avatar; authentication and session information; IR MAP responses and results; registrations, appointments, coaching packages and attendance status; payment evidence, amounts and payment status; notifications, support requests and security-related activity history. Journey journals and coaching information may contain sensitive data if you choose to share it. Do not provide unnecessary sensitive information or another person’s information without a lawful basis.
3. Purposes and basis for processing
Data is used to manage accounts, authenticate and restore access; provide IR MAP results; organise courses, workshops and coaching; reserve places and verify payments; send service notifications and emails; provide support, prevent fraud, resolve complaints and meet legal obligations. Processing relies on consent where required, delivery of the transaction or service you request, or another basis permitted by law. Optional purposes or sensitive-data processing require appropriate notice and consent; silence is not treated as consent.
4. Private journals and coaching records
Journey journals are designed to be visible only to the account owner in the member interface; coaches cannot view a client’s journal. Session outcome notes are private working records of the direct coach and are not displayed to supporting coaches or members. Package details, appointments and statuses needed for coordination are shown according to the parties’ permissions. Operational personnel may process data only for necessary, lawful duties; this is not a promise that data can never be processed at infrastructure level or under legal requirements.
5. Who may receive data
Authorised personnel access information needed for their duties: relevant coaches manage appointments and participants; coaches assigned to payment review and Admins may inspect payment evidence. Website/storage infrastructure, authentication, email, calendar and translation providers may process data necessary for the relevant function. ME&WE does not sell personal data. Disclosure to authorities or other parties requires a lawful basis, a valid request or appropriate consent.
6. Google, email and Google Calendar
If you choose Google sign-in, the website receives the basic account information Google permits, such as an identifier, name, email and picture; it does not receive your Google password. The sending Gmail account is connected by an administrator to send system emails; this connection does not grant access to members’ Gmail inboxes. The company calendar receives only the coach’s name and timing of confirmed appointments; confirmed cancellations or rescheduling update the event. Client names, journals, IR MAP results and coaching content are not placed on the shared calendar. Google services are also subject to Google’s own policies.
7. Automatic translation and external providers
When automatic translation is enabled, content submitted for translation may be processed by OpenAI according to the website configuration. Both language versions share images. This publishing feature is not blanket permission to send private journals or coaching records to AI. Providers may operate systems outside Vietnam, and data may be processed across borders. ME&WE is responsible for applicable legal requirements and for providing further information about recipients, locations or safeguards in response to a valid request.
8. Cookies, browser storage and external links
The website uses necessary cookies or session mechanisms to maintain sign-in, verify identity and protect requests. Some interface preferences may be stored in your browser. You can manage or delete cookies in browser settings; disabling necessary cookies may prevent sign-in. Third-party embeds, images or links may cause your browser to contact that provider and transmit technical information such as an IP address. Their own policies apply when you use their services; non-essential tracking purposes require notice and appropriate choice before implementation.
9. Security and retention
The website uses role-based access, session protection, password hashing and application-level encryption for journals and private coaching notes. No system is completely secure; protect your account and report incidents to ME&WE. Data is retained as needed to deliver services, meet lawful retention duties, reconcile transactions or address disputes; when no purpose or lawful basis remains, it should be deleted or de-identified. Account deletion does not necessarily immediately erase records that must legally be retained; retained records will have restricted processing. You may ask about retention periods for specific data categories.
10. Your rights and how to make a request
Under applicable law, your rights include being informed; consenting, refusing or withdrawing consent; accessing, correcting, requesting a copy of or deleting data; restricting or objecting to processing; complaining and seeking protection or compensation as provided by law. Send your request from your account email to support@meandwe.vn and specify its scope. ME&WE may proportionately verify identity before acting, explain any part it cannot fulfil and respond within statutory time limits. Withdrawing consent may prevent some services from continuing and does not invalidate earlier lawful processing.
11. Children, updates and your choices
For services involving children, registration and data processing require the involvement and consent of a lawful representative and the child where required by law. Do not submit a child’s information through another person’s account. Contact ME&WE if information appears to have been provided improperly. This policy is updated when processing changes; material changes will be notified and renewed consent sought where required. The Vietnamese and English versions correspond. See also the Terms of Use.
